- This policy applies where we are acting as a data controller with respect to the personal data of our website visitors and service users; in other words, where we determine the purposes and means of the processing of that personal data.
- It covers the personal data you give us through our website forms (enquiries, free assessment bookings, course registrations and job applications), the questions you ask our course adviser, and the records we keep as part of running our tuition centre.
- This website does not use advertising or marketing cookies. Section 13 lists the limited cookies and similar technologies we do use.
- In this policy, “we”, “us” and “our” refer to ExcelEdge Academy Limited. For more information about us, see Section 16.
2. How we use your personal data
- We use your personal data to respond to enquiries, arrange free assessments, register and teach students, process fees, recruit staff and improve our services.
- Enquiry and booking details are used to answer your enquiry and follow it up — steps taken at your request towards a tuition contract.
- Registration, medical and SEND details are used to plan suitable tuition and keep students safe during lessons — steps towards a contract and, for medical and safeguarding information, compliance with our legal obligations.
- Course adviser questions are used to recommend suitable courses and record the advice we give you — steps taken at your request towards a tuition contract.
- CVs and application details are used to assess job applications — steps taken at your request towards a contract of employment.
- Contact details are used to keep in touch about lessons you have booked, timetables and centre notices — our legitimate interests in running the centre.
- We will not send you marketing emails without your consent, and we never sell your personal data.
3. Personal data we collect
- Parent and carer names, email addresses and telephone numbers.
- Student names, year group, school, subjects studied and tuition needs.
- Registration details, including emergency contacts, and medical or SEND information where you choose to give it, so we can keep students safe.
- The questions you ask our course adviser and the recommendations we give.
- CVs and application details when you apply for a role with us.
- The minimum technical information needed to run the website securely, such as security logs held by our hosting provider.
4. Providing your personal data to others
- We share personal data only with the organisations that help us run the centre:
- our secure cloud hosting and database provider, which stores enquiry, registration and dashboard records;
- our email delivery service, which sends notification and confirmation emails on our behalf;
- Google, for the map on our Harrow centre page; and
- exam boards, only where a parent or carer asks us to communicate with them on the student's behalf.
- We will never sell your personal data or share it for other companies' marketing.
5. International transfers of your personal data
- Our main service providers store data in the United Kingdom or the European Economic Area.
- Where a provider stores or processes data outside these areas, we make sure an adequacy decision, standard contractual clauses or another lawful safeguard applies before the transfer takes place.
6. Retaining and deleting personal data
- Enquiries, assessment bookings and adviser questions are kept only as long as needed to respond and follow them up.
- Student records, including registration and medical details, are kept for the length of the student's enrolment plus any period the law requires.
- Job applications and CVs are kept for up to 60 days; CV download links expire after 60 days.
- When we no longer need personal data, we delete it or anonymise it so it no longer identifies you.
7. Security of personal data
- We take appropriate technical and organisational precautions to secure your personal data and to prevent the loss, misuse or alteration of your personal data.
- Personal data is stored on secure servers, and access is limited to the members of staff who need it to do their work.
- Data sent between your web browser and our website is protected using encryption technology.
- CVs submitted with job applications are stored privately, and download links we email ourselves expire after 60 days.
8. Your rights
- You can ask us for confirmation of whether we process your personal data, and for access to a copy of that data.
- You can ask us to correct inaccurate personal data, to delete it, or to restrict or object to how we use it.
- Where we rely on consent, you can withdraw that consent at any time.
- You can exercise these rights by writing to us at info@excelacademy.org.uk or by telephoning 020 3602 9407.

- We are not responsible for the privacy policies or practices of third party websites, so please read their policies before giving them your personal data.
10. Personal data of children
- We collect students' details through their parents and carers, who provide the information and consent to tuition.
- Students aged 12 or over may sign the registration form themselves, but parents and carers remain the point of contact for everything connected with their child's data.
11. Updating information
- Please let us know if the personal data we hold about you or your child changes, for example a new address, phone number or medical detail, so we can keep our records accurate.
- You can update your details by emailing info@excelacademy.org.uk or speaking to us at the centre.
