Excel Academy provides tuition, academic support and educational guidance for students across different age groups and academic levels, including but not limited to KS2, KS3, KS4, GCSE, IGCSE, AS Level, A Level, SATs, 11+, 13+ and other agreed programmes.
Our aim is to support each student’s learning, confidence, progress and academic development through structured tuition, homework, feedback and regular academic monitoring.
2.1. A student’s place is confirmed once the parent/guardian has completed the enrolment process, provided the required information, accepted these Terms and Conditions, and paid the relevant fees.
2.2. Parents/guardians must provide accurate and up-to-date information at enrolment, including:

2.4. Excel Academy reserves the right to assess the student’s academic level before recommending a suitable class, tutor, programme or lesson plan.
2.5. Acceptance onto a programme is subject to availability, suitability, payment of fees and the student’s ability to follow centre expectations.
3.1. Students are expected to attend a minimum of two hours of tuition per week unless otherwise agreed in writing with the centre.
3.2. Students must arrive prepared for lessons and must bring the required stationery, books, folders, worksheets, calculators and learning materials as instructed by their tutor.
3.3. Students in KS3, KS4, GCSE, IGCSE, AS Level and A Level classes must bring an appropriate scientific calculator where required for their subject.
3.4. Parents/guardians are responsible for purchasing any books, calculators, revision guides or learning materials recommended by the tutor, unless the centre confirms that these are provided as part of the tuition fee.
3.5. Students must pay attention during lessons, follow the tutor’s instructions, complete set tasks, and behave respectfully towards tutors, staff and other students.
3.6. Students are expected to follow all centre rules relating to behaviour, safety, attendance, punctuality and learning.
4.1. Students must attend all scheduled lessons regularly and punctually.
4.2. Parents/guardians are responsible for ensuring that the student attends lessons at the agreed time and is collected promptly at the end of the lesson.
4.3. If a student is unable to attend a lesson for a non-medical reason, parents/guardians must give at least 24 hours’ notice by phone, text message or email.
4.4. If a student is unable to attend due to illness, parents/guardians must inform the centre as soon as reasonably possible before the lesson starts.
4.5. Where appropriate notice is provided, Excel Academy Tuition may offer one of the following, subject to availability and the nature of the absence:
4.6. Replacement lessons, catch-up sessions or credits are not guaranteed and are subject to tutor availability, timetable availability and the centre’s discretion.
4.7. If a student is absent without notice, or if less than 24 hours’ notice is given for a non-medical absence, the lesson may be charged in full.
4.8. Repeated or long-term absence, lateness or lack of engagement may affect the student’s progress. Excel Academy Ltd. may discuss concerns with the parent/guardian and may review the student’s place at the centre.
4.9. If a student arrives late, the lesson will still finish at the scheduled time unless the tutor and centre agree otherwise.
5.1. Students should arrive on time and should not arrive excessively early unless this has been agreed with the centre.
5.2. Parents/guardians are responsible for the student before the agreed lesson start time and after the lesson end time, unless the student is under the direct supervision of Excel Academy staff.
5.3. Students must be collected promptly at the end of their lesson unless written permission has been given for the student to leave independently.
5.4. Parents/guardians must inform the centre in advance if someone else will collect the student.
5.5. If a parent/guardian is delayed, they must contact the centre as soon as possible.
5.6. Excel Academy reserves the right to charge an additional supervision fee where a student is repeatedly collected late.
6.1. Homework is an important part of the learning programme and is compulsory unless the tutor confirms otherwise.
6.2. Students are expected to complete homework on time and to the best of their ability.
6.3. Parents/guardians are expected to support the student by encouraging regular homework completion, revision and independent study.
6.4. Failure to complete homework may limit the student’s progress. Where homework is repeatedly incomplete, the tutor or centre may contact the parent/guardian to discuss support strategies.
7.1. Excel Academy will make reasonable efforts to support each student’s academic progress through structured teaching, feedback, homework, monitoring and guidance.
7.2. Student progress depends on several factors, including attendance, punctuality, effort, homework completion, prior attainment, parental support, school input, examination conditions and other external factors.
7.3. Excel Academy does not guarantee specific grades, examination results, scholarship outcomes, school admissions, college admissions, university admissions or any other academic outcome.
7.4. Our role is to support, guide and facilitate learning. Final outcomes depend significantly on the student’s effort, commitment and consistency.
7.5. Parents/guardians will receive feedback on the student’s progress at appropriate intervals, which may include verbal feedback, written updates, reports, assessments or parent meetings.
7.6. For students preparing for SATs, 11+, 13+, GCSE, IGCSE, AS Level or A Level examinations, consistent attendance and regular independent study are essential.
8.1. Tuition fees must be paid in advance unless otherwise agreed in writing.
8.2. Fees are normally payable in blocks of four lessons, monthly, termly, annually or according to another agreed payment plan.
8.3. A registration or administration fee of £25 is payable at enrolment. This fee covers administration and registration processing and is non-refundable once the enrolment has been processed.
8.4. Tuition fees vary depending on the student’s age group, academic level, subject, group size, programme type and lesson format.
8.5. Parents/guardians will be informed of the applicable fees before enrolment or before any change in programme.
8.6. Payment must be made by the due date stated on the invoice, payment request or enrolment confirmation.
8.7. Excel Academy reserves the right to suspend tuition where fees remain unpaid.
8.8. Excel Academy may refuse attendance or withhold further lessons until outstanding fees are paid.
8.9. The parent/guardian remains responsible for all unpaid fees relating to booked or attended lessons.
8.10. Fees may be reviewed from time to time. Parents/guardians will be given reasonable notice of any fee changes.
9.1. Where an annual payment plan is agreed, the student may attend lessons during the agreed annual tuition period, subject to the centre’s timetable, tutor availability and opening dates.
9.2. Any additional support offered under an annual plan is subject to availability and must be arranged with the centre.
9.3. The phrase “additional support” does not mean unlimited one-to-one tuition, unlimited lessons, guaranteed tutor availability or guaranteed examination outcomes.
9.4. Annual plans are subject to the same attendance, cancellation, conduct and academic expectations set out in these Terms and Conditions.
10.1. Parents/guardians must give at least four weeks’ written notice if they wish to stop tuition.
10.2. Notice must be sent by email, text message or written communication to the centre.
10.3. Fees remain payable for lessons scheduled during the notice period.
10.4. Where a parent/guardian cancels tuition part-way through a paid block, any refund or credit will be considered fairly, taking into account:

10.6. Excel Academy may offer a credit, replacement lesson or alternative support where appropriate and reasonable.
11.1. Excel Academy may cancel, postpone or reschedule a lesson due to tutor illness, staff absence, emergency, safeguarding concern, severe weather, building issue, public health guidance, low class numbers or any other reasonable operational reason.
11.2. If Excel Academy cancels a lesson, we will normally offer one of the following:
11.3. Excel Academy will make reasonable efforts to provide parents/guardians with notice of any cancellation or change.
12.1. Tuition fees are generally non-refundable once lessons have been booked or delivered.
12.2. Refunds or credits may be considered where:

12.4. Any approved refund will normally be returned to the original payment method within a reasonable period.
12.5. The administration fee is non-refundable once enrolment has been processed, except where required by law.
13.1. Where tuition is purchased online, by telephone, by email or away from the centre premises, parents/guardians may have statutory cancellation rights under applicable consumer legislation.
13.2. If a parent/guardian asks for tuition to start during any statutory cancellation period, they agree that Excel Academy may charge for any lessons or services provided before cancellation.
13.3. Where digital materials, online learning access or downloadable resources are provided, access may be restricted or ended if the parent/guardian cancels, stops paying fees or breaches these Terms and Conditions.
13.4. Parents/guardians should contact the centre in writing as soon as possible if they wish to cancel a booking.
14.1. Excel Academy may operate during half-term periods, school holidays and some bank holidays, depending on demand, tutor availability and centre opening arrangements.
14.2. Parents/guardians will be informed of planned centre closures where possible.
14.3. If a student chooses not to attend during holiday periods, fees will not normally be deducted unless this has been agreed in advance.
14.4. If the centre is closed and a lesson cannot be delivered, Excel Academy will normally offer a replacement lesson, catch-up session, credit or other reasonable alternative.
15.1. Students must behave respectfully towards tutors, staff, other students, parents and visitors.
15.2. Students must not engage in behaviour that is disruptive, unsafe, aggressive, discriminatory, bullying, threatening, abusive, dishonest or inappropriate.
15.3. Students must follow tutor instructions and centre rules at all times.
15.4. The following behaviour may result in parent/guardian contact, removal from the lesson, suspension or termination of tuition:
15.5. Excel Academy reserves the right to terminate tuition where a student’s behaviour poses a risk to themselves, other students, staff or the effective running of the centre.
15.6. Fees for lessons missed due to suspension or termination following serious misconduct may not be refunded.
16.1. Parents/guardians are expected to communicate respectfully with tutors, staff, students and other parents.
16.2. Abusive, threatening, discriminatory, aggressive or inappropriate behaviour by a parent/guardian will not be tolerated.
16.3. Excel Academy reserves the right to refuse service, restrict communication methods, suspend tuition or terminate the student’s place where parent/guardian conduct is unacceptable.
17.1. Parents/guardians are responsible for ensuring that the student is fit and well enough to attend lessons.
17.2. Students should not attend the centre if they have a contagious illness, high temperature, vomiting, diarrhoea or any condition that may put others at risk.
17.3. Parents/guardians must inform the centre of any medical conditions, allergies, medication requirements, special educational needs, disabilities or other circumstances that may affect the student’s learning, safety or wellbeing.
17.4. Parents/guardians must provide emergency contact details and keep them up to date.
17.5. While students are on the centre premises and under the supervision of Excel Academy staff, the centre will take reasonable steps to safeguard their welfare and provide a safe learning environment.
17.6. Parents/guardians are responsible for the student’s safe arrival at the centre and safe collection after lessons.
17.7. Excel Academy is not responsible for students before their agreed lesson start time or after they have left the centre, unless otherwise agreed in writing.
17.8. Students should bring their own drinks and snacks where appropriate. Parents/guardians must inform the centre of any food allergies.
17.9. In an emergency, Excel Academy may contact emergency services and/or the student’s emergency contact. Parents/guardians agree that the centre may take reasonable action to protect the student’s health, safety and welfare.
18.1. Excel Academy is committed to safeguarding and promoting the welfare of children and young people.
18.2. All students must be treated with dignity, respect and care.
18.3. Parents/guardians must inform the centre of any safeguarding, welfare or family circumstances that may affect the student while attending tuition.
18.4. Excel Academy may share information with appropriate authorities where there is a safeguarding concern, legal duty, welfare concern, regulatory requirement or risk of harm.
18.5. Confidentiality will be maintained wherever possible, but safeguarding concerns may need to be shared without parent/guardian consent where this is necessary to protect a child or comply with legal obligations.
18.6. Parents/guardians should refer to Excel Academy’s Safeguarding Policy for further information.
19.1. Parents/guardians must inform Excel Academy of any special educational needs, disabilities, learning difficulties, access needs or reasonable adjustments that may be required.
19.2. Excel Academy will make reasonable efforts to support students with additional needs where it is practical, safe and within the centre’s resources.
19.3. The centre may request additional information from parents/guardians to understand the student’s needs and to decide whether suitable support can be provided.
19.4. Where the centre cannot reasonably meet a student’s needs, this will be discussed with the parent/guardian.
20.1. Where online tuition is provided, students must attend from a safe, suitable and quiet learning environment.
20.2. Parents/guardians are responsible for ensuring that the student has access to a working device, internet connection and any required software.
20.3. Students must behave appropriately during online lessons and must not record, screenshot, share or distribute lesson content without permission.
20.4. Parents/guardians should ensure appropriate supervision for younger students during online lessons.
20.5. Excel Academy may end an online lesson where behaviour is inappropriate, safeguarding concerns arise or technical issues prevent effective delivery.
20.6. Online lesson links must not be shared with anyone who is not enrolled in the lesson.
21.1. Mobile phones and personal devices must be switched off or kept silent during lessons unless the tutor allows their use for learning.
21.2. Students must not use devices to record tutors, staff, students, lessons or centre activities without permission.
21.3. Students must not access inappropriate websites, apps, games or content during lessons.
21.4. Misuse of devices may result in the device being put away, parent/guardian contact, suspension or termination of tuition.
22.1. Worksheets, lesson notes, resources, slides, tests, explanations and other materials provided by Excel Academy remain the intellectual property of Excel Academy or the relevant copyright owner.
22.2. Materials are provided for the personal educational use of the enrolled student only.
22.3. Parents/guardians and students must not copy, distribute, upload, sell, publish or share Excel Academy materials without written permission.
22.4. Online resources, login details and digital materials must not be shared with other students, families or third parties.
23.1. Students are responsible for their own belongings.
23.2. Excel Academy is not responsible for loss, theft or damage to personal belongings unless caused by the centre’s negligence.
23.3. Students should not bring unnecessary valuables to the centre.
24.1. Students must respect the centre’s property, equipment, books, furniture and learning resources.
24.2. Parents/guardians may be responsible for the reasonable cost of repair or replacement where a student deliberately or carelessly damages centre property.
25.1. Excel Academy will not use a student’s photograph, video, name, testimonial, school result or work for marketing purposes without separate parent/guardian consent.
25.2. Parents/guardians may withdraw marketing consent at any time by contacting the centre in writing.
25.3. Students and parents/guardians must not photograph, film or record other students, staff or lessons without permission.
26.1. Excel Academy processes personal data in accordance with the UK GDPR and the Data Protection Act 2018.
26.2. Personal data may be used for legitimate educational, administrative, safeguarding, communication, payment, legal and operational purposes.
26.3. The personal data we process may include student details, parent/guardian details, attendance records, academic records, assessment results, payment records, communication records, safeguarding information, medical information and emergency contact details.
26.4. Excel Academy will take reasonable steps to keep personal data accurate, secure and confidential.
26.5. Personal data will only be shared where there is a lawful basis to do so, including where sharing is necessary for safeguarding, legal compliance, payment processing, professional advice, emergency support or the effective delivery of tuition.
26.6. Parents/guardians and students have rights under data protection law, including rights relating to access, correction, deletion, restriction and objection, subject to legal limits.

27.1. Information provided by parents/guardians and students will be treated confidentially.
27.2. Confidentiality may be limited where disclosure is required by law, safeguarding duties, court order, regulatory requirement, professional advice, debt recovery or where there is a concern about a child’s welfare or safety.
27.3. Parents/guardians and students must also respect the confidentiality and privacy of other students, parents, tutors and staff.
28.1. Excel Academy may communicate with parents/guardians by phone, email, text message, WhatsApp, written notice or other agreed communication methods.
28.2. Parents/guardians must ensure that contact details are accurate and up to date.
28.3. Important notices, including timetable changes, fee reminders, closure notices and progress updates, may be sent electronically.
28.4. Parents/guardians are responsible for checking messages from the centre regularly.
29.1. Excel Academy aims to provide a high-quality service and welcomes feedback.
29.2. Parents/guardians should raise concerns as soon as possible with the tutor, centre manager or designated contact person.
29.3. Complaints should be made in writing where possible, setting out the nature of the concern and any relevant details.
29.4. Excel Academy will aim to respond to complaints fairly, professionally and within a reasonable timeframe.
29.5. Safeguarding concerns will be handled in accordance with the centre’s Safeguarding Policy.
30.1. Excel Academy may suspend or terminate tuition where:
30.2. Where reasonably possible, Excel Academy will discuss concerns with the parent/guardian before terminating tuition.
30.3. In serious cases, tuition may be terminated immediately.
30.4. Any refund or credit following termination will be considered fairly, taking into account lessons delivered, lessons booked, fees paid, outstanding fees, the reason for termination and any legal rights that apply.
31.1. Excel Academy will make reasonable efforts to maintain the agreed timetable, tutor and programme.
31.2. However, changes may be necessary due to tutor availability, student numbers, academic needs, operational reasons or circumstances outside the centre’s control.
31.3. Excel Academy may change the tutor, class, timetable, room, lesson format or programme structure where reasonably necessary.
31.4. Parents/guardians will be informed of significant changes where possible.
32.1. Excel Academy will not be liable for failure or delay caused by events outside our reasonable control.
32.2. Such events may include severe weather, fire, flood, power failure, transport disruption, public health restrictions, building issues, staff illness, government guidance, emergency situations or other circumstances beyond our control.
32.3. Where lessons are affected, Excel Academy will make reasonable efforts to provide an alternative arrangement, such as rescheduling, online tuition, catch-up support or lesson credit.
33.1. Excel Academy does not exclude or limit liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence.
33.2. Excel Academy will take reasonable care in providing tuition and supervising students while they are under the centre’s care.
33.3. Excel Academy is not responsible for academic results, examination performance, school admissions, college admissions, university admissions or other outcomes that depend on factors outside the centre’s control.
33.4. Excel Academy is not responsible for loss caused by inaccurate information provided by parents/guardians or students.
33.5. Excel Academy is not responsible for indirect, consequential or unforeseeable losses.
34.1. The contract for tuition is between Excel Academy and the parent/guardian.
34.2. Parents/guardians are responsible for ensuring that the student understands and follows relevant centre rules.
34.3. Parents/guardians are responsible for payment of all fees and charges.
34.4. By enrolling a student, the parent/guardian confirms that they have legal authority to make educational arrangements for the student.
35.1. Excel Academy may update these Terms and Conditions from time to time.
35.2. Parents/guardians will be informed of significant changes.
35.3. The latest version will apply from the effective date stated on the document.
35.4. Continued attendance after updated Terms and Conditions are issued will be treated as acceptance of the updated terms, unless the parent/guardian raises a concern in writing.
36.1. These Terms and Conditions are governed by the laws of England and Wales.
36.2. Any dispute will be subject to the courts of England and Wales, unless otherwise required by law.
